Are you a skilled administrator with effective communication skills? Do you enjoy collaborating with both colleagues and external partners? Are you familiar with the Microsoft software suite, in particular Excel and Word? This is an excellent opportunity for somebody who enjoys working at pace in a busy but friendly team, and who will bring passion and drive.  

You will be working to support the One YMCA Family Support Service, providing support to the Head of Family Services and the Premises Co-ordinator. You will also offer administrative support for external Partner meetings, often acting as the first point of contact for staff, partners and contractors.  

The primary focus of the job is providing timely, efficient and high-quality administration and information support, ensuring discreet and efficient administrative practices are provided at all times.

Our work can be very sensitive by nature, so you must be able to display instinctive discretion. Ideally, you will bring evidence of working in a role where you had to handle sensitive or confidential information.

Some of the key responsibilities are as follows, but it is important to read the full job description (attached in the right-hand panel) for a full understanding of the role.

  1. Work closely with the Head of Family Services and the Premises Co-ordinator to provide administrative and other support to the Family Centre service.
  2. Maintain management information on behalf of the Family Centres, using specialist databases and other systems.
  3. Provide a first class administrative service for all internal and external meetings (including organising meetings and taking minutes), providing a welcoming and professional service, whilst maintaining discretion and confidentiality at all times.
  4. Liaise with external agencies to arrange training for staff, as well as contractors to support with the ongoing maintenance programme for the Family Support Service premises.
  5. Order stationery, process invoices and other financial administration.

This is a busy role and you must have excellent organising and co-ordinating skills, together with a solid working knowledge of Outlook, Excel and Word. You must thrive in a team where you have to work at pace.
